Vertex Update – September 2025 (Item # 371508)
The September 2025 Vertex release has been applied. There were state and local rate changes. For the full list of updates, see the 2025.09 September Vertex Guide. Here are some notable updates:
Minnesota: State Tax Changes Implementation of Minnesota Paid Family and Medical Leave (MNPFML) taxes for 2026.
Assigned tax codes for both employee and employer contributions:
Mastertax: MNPFML-025 (Employee), MNPFML-017 (Employer)
PTM: MNPFL-EE (Employee), MNPFL-ER (Employer)
Default tax rates are being used as per the Vertex guide, with an option to override upon request
Overriding tax rates will require manual updates for any future rate changes
The new taxes have been automatically added to existing clients with Minnesota SUI tax o Calculation method – no self-adjust
Ohio: Revised the withholding Optional Computer Method, effective 10-1-25.
Michigan: Michigan GTL compensation is no longer taxable for MI local taxes, but GTL wages are still considered subject
GEO Code Maintenance: The Service Bureau Report “Employee GeoCode Export” is available to determine if you have any employees in the GEO Codes listed in the Vertex documentation.

If there are any local updates listed, the Service Bureau Report "Company Tax Report” can be used to identify companies with the tax to assist your service bureau to decide if further action is required. Wages and tax updates can always be done by following the University documents or following up with your Support Representative.
To see the list of deleted jurisdictions and new GeoCodes, view the 2025.09 September Vertex Guide. Users can run the Service Bureau Report “Employee GeoCode Export” to determine if there are any employees in the GEO Codes listed in the Vertex documentation.

Nevada State Retirement Files (Item #360886)
Request: Add the exports for the Nevada State Retirement Savings program (a.k.a. NVSaves).
Resolution: Added the three exports for the NVSaves program (“Initial Census,” “Ongoing Census,” and “Contributions”).
The “Initial Census” export is available in Client Reports.
The “Ongoing Census” and “Contributions” exports are available in Scheduled Report Options and Client Reports.

Payroll/Service Bureau – Notable Items:
Client level Export to create in Data Conversion Import format for employee imports of Employment Status, Employment History and Employment Category History (Item #371410)
Issue: Implementation and Service teams are often asked to create a new legal company from an existing legal company and want an automated process to move history from the old company to the new.
Resolution: Added a new client level export available for all clients under My Reports > Client Reports titled "Employee Data Conversion History Export.”
The current version will include the following three options which will be created in the import format. The export can be created on the source company and imported into the new company without reformatting the spreadsheet.

Payroll Error/Warning > Management > Break out Missing Bill Rate into 2 Rules (Item #366342)
Request: Update the Payroll Error/Warning rule for Workers Comp bill rate into two separate rules.
Resolution: There are now two rules that can be set to different alert levels to give PEO partners more control.
The employee’s assigned WC code does not have a Client Bill Rate on the PEO Company Workers Comp Policies screen that is active as of the pay date for the legal company.
The employee’s assigned WC code does not have an active rate, or the EE/ER combined rate is 0.00 as of the pay date on the Client Management > Tables > Workers Comp Rates screen for the legal company.

Analytics Hub – KPI and ROI Dashboard (Item #364154)
We’re moving the ROI and KPI dashboards into People Cloud’s new Analytics Hub - delivering real-time insights into workforce metrics like investment outcomes, gender, ethnicity, job roles, and more. These dashboards will no longer update weekly, but in real-time, enabling faster, more confident decision-making.
Action Required by Service Bureau:
To access dashboards, users must have the “Access Reporting Analytics Hub” rule (to see the menu item in the left nav) and individual rules for each dashboard, “Access KPI Dashboard (AH)” and “Access ROI Dashboard (AH).” For example, access to both KPI and ROI dashboards requires three rules total.
Note: We recommend disabling access to the current KPI Dashboard and ROI Dashboard screens when enabling access to the new Analytics Hub screen.

Identity 2FA Elevated Access Prompt (Item # 335214)
A new mechanism has been implemented within My Account in Identity to enhance security for privileged actions. This update introduces an elevated access 2FA (two-factor authentication) prompt for users who are already logged in but are attempting to perform sensitive operations. The following actions now require an additional 2FA verification:
Changing phone numbers
Changing 2FA methods
Adding or removing FIDO keys Adding or removing TOTP authenticators
This feature ensures that privileged operations are protected with an additional layer of authentication, safeguarding critical user account settings against unauthorized access.

Phone Number Check for Users (Item # 331246)
A phone number check has been added at login to help ensure your contact info is up to date. The system now tracks when your number was added. If no date is found, the number hasn't been used to verify login, or if the number hasn’t been verified in over a year, you’ll be asked to confirm it’s still correct.

Resolution: The system has been updated to correctly interpret IN punches during the DST fallback period (1:00 AM - 2:00 AM).
